ONBOARDING NEW APARTMENTS

It’s important we follow a basic process for bringing new apartments into our network, this should help streamline the process and allow us to turn around a new apartment within 24 hours of getting keys. There are a number of activities that fall to different people and, its important everyone understands their role.


CORPORATE SERVICES WILL ACTION:
  1. Alert Property Operations Managers, Cleaning Services Managers, Makati Manager and ND when a new lease is signed
  2. Two weeks before the apartment is to start, a reminder alert will be issued by Corporate Services
  3. Arrange new water connection by contacting City West Water
  4. Arrange new power connection by contact the relevant energy provider
  5. Have onsite host test for internet access from outside the apartment, if limited or no connection, apply for new internet services by emailing relevant supplier
  6. Coordinate signed agreements, leases, bond forms
  7. Setup the CRM Profile for this apartment and change status


PROPERTY OPERATIONS MANAGERS:
  1. Coordinate day of install and deliveries, book lift access with building manager
  2. Collect new keys
  3. Conduct a maintenance audit recording any issues on the condition report, complete and email to ND for signing
  4. Update the apartment in Cloudbeds for sale and block using out of order 'RELEASE BY ND'
  5. Coordinate to have locks changed by maintenance
  6. Complete a final walk through after setup is complete ensuring nothing has been missed, any missed items must be logged as a support ticket


MAINTENANCE
  1. Change locks 


CLEANING SERVICES MANAGER
  1. Check for availability of all furniture, housewares and fittings at least one week before
  2. Coordinate orders of any items needed
  3. Arrange staff to move furniture and fittings into new apartment
  4. Have apartment detail cleaned
  5. Complete audit to ensure nothing has been missed and hand back to Property Operations Manager
